ZippedScript Ltd ("the Company," "we," "us," or "our") operates tryzippedscript.com and the ZippedScript document-workflow platform. Our service processes documents that operations teams submit, including contracts, onboarding packets, vendor forms, and other business paperwork, in order to generate AI-assisted drafts, route those documents to the appropriate approvers, and track completion. This Privacy Policy explains what personal information we collect about visitors, account holders, and their end users, how we use it, and the rights you have under the Personal Information Protection and Electronic Documents Act ("PIPEDA") and applicable provincial laws including British Columbia's Personal Information Protection Act ("BC PIPA").
Because ZippedScript processes business documents on behalf of our customers, two distinct privacy relationships apply: (1) our relationship with account holders and their organization members, where ZippedScript is the responsible organization collecting and using personal information directly; and (2) our relationship with end-user data contained within customer documents, where the customer's organization is the controller and ZippedScript acts as a data processor under their instructions. This policy addresses both.
1. Accountability
ZippedScript Ltd, 555 West Hastings Street, Suite 1200, Vancouver, BC V6B 1A9, is responsible for personal information collected through tryzippedscript.com under PIPEDA and BC PIPA. We have designated a privacy contact reachable at [email protected].
2. Personal Information We Collect
When you create an account, subscribe to a plan, or use the Service as a team member, we collect:
- Identity and contact information: name, work email address, job title, and organization name provided during sign-up or in account settings;
- Billing information: payment card details (processed by our payment processor; we do not store full card numbers) and billing address;
- Document content you submit: the text and fields of contracts, onboarding forms, vendor agreements, and other documents you upload or generate through ZippedScript. This content may include the names, email addresses, and role information of third parties named in those documents (for example, counterparties to a contract or new hires in an onboarding packet);
- Communication content: messages you send to us through our support channel at [email protected] or through any in-product messaging features;
- Technical and usage information collected automatically: IP address, browser type and version, device type, pages visited, features used, time and date of access, and referring URL. This helps us operate and improve the platform, understand which workflow automations are most useful, and diagnose errors;
- Analytics information: aggregated, anonymized usage metrics collected with your awareness through session analytics. See our Cookie Policy for details.
We do not knowingly collect sensitive personal information such as health data, government identification numbers, or financial account credentials as part of the ZippedScript workflow platform. If your organization's documents happen to contain such information, it is processed under your organization's instructions as data processor and you remain responsible for its lawful handling.
3. Purposes Identified at Collection
We collect and use personal information for the following purposes:
- To provide the ZippedScript document-drafting, routing, and tracking service you have subscribed to;
- To authenticate your account and manage team member access and permissions;
- To process payments and maintain billing records;
- To process document content through our AI drafting pipeline and route completed documents to the recipients you specify;
- To respond to support requests and troubleshoot issues;
- To communicate with you about service updates, feature releases, and important account notices;
- To analyze aggregate usage patterns so we can improve the platform for operations teams;
- To meet legal obligations, including tax recordkeeping and responses to lawful requests.
We will not use your personal information for materially different purposes without notifying you and, where required by PIPEDA or BC PIPA, obtaining your consent.
AI model training: ZippedScript does not use the content of documents you submit to train our AI models or any third-party machine-learning systems without your explicit written consent. Document content is processed solely to generate drafts and route documents within your organization's workflow.
4. Consent
Where required by PIPEDA or BC PIPA, we obtain your meaningful consent before collecting, using, or disclosing personal information. By creating an account and using the Service, you consent to the collection, use, and disclosure of personal information as described in this policy. You may withdraw consent at any time, subject to legal or contractual restrictions, by contacting us at [email protected]. Note that withdrawing consent may affect our ability to provide certain features of the Service to you.
5. Limiting Use, Disclosure, and Retention
We use personal information only for the purposes described above, except with your consent or as required by law. Specifically:
- Account information is retained for as long as your account is active. When you close your account, we delete or anonymize account data within 90 days, except where we must retain it for tax, legal dispute, or regulatory purposes.
- Document content submitted through the platform is retained according to your subscription settings. You may configure automatic deletion windows within the platform dashboard. Upon account closure, document content is deleted within 90 days unless you request earlier deletion.
- Technical logs and analytics data are retained for up to 24 months for operational and security purposes, then deleted or aggregated.
- Billing records are retained for seven years in compliance with Canadian tax law.
We do not sell personal information to third parties. We share information only with sub-processors who support our operations (for example, our payment processor, cloud infrastructure provider, and transactional email service), each bound by contractual data-protection obligations, and with government or regulatory authorities when required by law.
6. Your PIPEDA Rights
- Right of access to your personal information held by the Company;
- Right to challenge the accuracy of your information and request correction;
- Right to withdraw consent to collection or use (subject to legal or contractual restrictions);
- Right to file a complaint with the Office of the Privacy Commissioner of Canada.
Quebec residents under Law 25 also have a right to data portability and a right to object to certain automated decision-making.
To exercise any of these rights, email [email protected]. We respond within 30 days, extendable by an additional 30 days with notice where the complexity of the request requires it.
7. Right to File a Complaint
You may file a complaint with the Office of the Privacy Commissioner of Canada at priv.gc.ca, or with your provincial commissioner where applicable. British Columbia residents may contact the Office of the Information and Privacy Commissioner for BC at oipc.bc.ca.
8. Cookies and Cross-Border Transfers
We use cookies and similar technologies to operate the Service. See our Cookie Policy for a full breakdown of cookies used and your choices. Where personal information is transferred outside Canada (for example, to cloud infrastructure providers operating in the United States), we use contractual safeguards consistent with PIPEDA and applicable provincial requirements. We will notify you if the country of transfer is one that may not provide comparable privacy protection.
